PRIVACY & DATA HANDLING AT GRUFF STUDIOS

🎥 DATA COLLECTION, MEDIA STORAGE & PORTFOLIO TERMS

DATA COLLECTION: We collect only the information necessary to book your session or production service (Name, Email, Phone, Project Details) and process payments via our secure encrypted partners (such as Stripe, Square, or PayPal).

FOOTAGE & MASTER FILE STORAGE: We retain your raw footage, audio tracks, and master editing files for six (6) months following your session or project delivery date. After this 6-month period, raw files may be archived or permanently deleted to manage storage capacity. We strongly recommend downloading and backing up all your final master exports immediately upon delivery.

PROMOTIONAL & PORTFOLIO USE: We take pride in the work produced at Gruff Studios. Unless otherwise agreed upon in writing prior to your session, Gruff Studios LLC retains the right to utilize final footage, stills, and audio produced during your session for studio promotional purposes, including our website portfolio, social media, and internal showreels.

ACTOR & CONFIDENTIALITY HOLD: We respect project embargoes and casting privacy. If your session involves NDA-protected material, unreleased commercial scripts, or sensitive audition tapes, simply notify us in writing prior to or immediately following your shoot, and we will hold or exclude your footage from public promotional use.

1. Information We Collect

We collect information that identifies, relates to, or could reasonably be linked to you (“Personal Information”). This includes:

  • Direct Communications & Session Bookings: If you contact us via email, contact form, or booking portal regarding studio rentals, actor branding, headshots, or content creation via The Gruff Lab, we collect your name, email address, phone number, and project notes.
  • E-Commerce & Order Shipping Data: Shipping address, order details, and purchase history provided when buying Set Gear apparel or merch online.
  • Media & Talent Submissions: If you submit resumes, self-tapes, headshots, scripts, or reels for project consideration, casting, or studio sessions, we collect and store the media files provided.
  • Billing Information: Payment transactions are handled directly through encrypted third-party payment processors (Stripe, Square, PayPal). We do not store raw credit card numbers on our local servers.
  • Discount Verification Data (The Grind Discount): Professional healthcare credentials/badges, military .mil email headers, DD-214 documents, or .edu student email verification details submitted for discount eligibility. Verification documents are permanently deleted immediately upon identity verification and code issuance.
  • Usage Data & Website Analytics: Like most modern websites, we may automatically collect certain technical information when you visit gruffstudios.com, such as your IP address, browser type, operating system, and interaction data via cookies or standard web performance trackers.

  • Schedule, execute, and deliver studio sessions, production services, actor branding packages, and digital content.
